Amenities processes personal information in accordance with the Data Protection Act 2017 of Mauritius and other applicable data protection requirements.

LinkedIn separately processes personal information relating to the use of its platform in accordance with LinkedIn’s own privacy policy.

3. Information collected through LinkedIn

When you submit a LinkedIn Lead Gen Form, Amenities may receive information taken from your LinkedIn profile or entered directly by you.

Depending on the fields included in the form, this information may include:

1. Your first name and surname

2. Your email address

3. Your telephone number

4. Your job title

5. Your company or organisation

6. Your industry or business sector

7. Your company size

8. Your location

9. Your answers to questions included in the form

10. Information about the service, product, catalogue or meeting you requested

Amenities will only request information that is reasonably necessary for the stated purpose of the campaign.

Please do not submit sensitive personal information through a LinkedIn Lead Gen Form.

4. How the information is used

Amenities may use information submitted through LinkedIn to:

1. Respond to your enquiry

2. Send you a requested catalogue, moodboard, quotation or presentation

3. Understand your gifting, hospitality, branding, packaging or personalisation requirements

4. Arrange a telephone call, online meeting or physical meeting

5. Prepare concepts, recommendations, proposals or quotations

6. Provide information about relevant Amenities products and services

7. Manage the business relationship and related communications

8. Maintain internal records of enquiries and client interactions

9. Measure the effectiveness of marketing campaigns

Amenities will honour direct marketing objections and opt out requests as soon as reasonably possible.

Amenities does not sell personal information collected through LinkedIn Lead Gen Forms.

Information may be shared only where reasonably necessary with:

1. Authorised Amenities employees and representatives

2. Service providers supporting email, cloud storage, customer relationship management, website hosting, analytics or information technology

3. Designers, suppliers or production partners where necessary to prepare or fulfil a request

4. Professional advisers such as accountants, auditors or legal advisers

5. Government authorities or regulators where disclosure is required by law

6. LinkedIn and approved integration providers involved in operating the Lead Gen Form

Any service provider receiving personal information must use it only for the agreed purpose and must apply appropriate confidentiality and security measures.

8. International processing

LinkedIn and some technology or cloud service providers may process or store information outside Mauritius.

Where personal information is transferred internationally, Amenities will take reasonable steps to ensure that it remains protected through appropriate contractual, organisational and technical safeguards.

9. Retention of information

Amenities retains personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy.

Information relating to an enquiry will normally be retained for up to twenty four months following the last meaningful interaction, unless:

1. A business relationship is established

2. A longer period is required for accounting, contractual, legal or regulatory purposes

3. You have consented to continued communications

4. You request deletion and there is no lawful reason to retain the information

LinkedIn may make Lead Gen Form data available to Amenities through its platform for up to twelve months. Amenities may securely retain a downloaded copy in accordance with the retention periods described above.

When information is no longer required, it will be securely deleted, anonymised or destroyed.

10. Information security

Amenities uses reasonable administrative, organisational and technical measures to protect personal information against:

1. Unauthorised access

2. Accidental loss

3. Misuse

4. Alteration

5. Unauthorised disclosure

6. Destruction

Access to lead information is limited to authorised persons who require it for legitimate business purposes.

No electronic transmission or storage system can be guaranteed to be completely secure. Amenities will nevertheless take reasonable measures to protect the information under its control.

1. Ask whether Amenities processes your personal information

Amenities’ LinkedIn Lead Gen campaigns are intended for business professionals and are not directed towards persons under eighteen years of age.

Amenities does not knowingly request or collect personal information relating to children through LinkedIn Lead Gen Forms.

13. Automated decisions

Amenities does not use information submitted through LinkedIn Lead Gen Forms to make decisions based solely on automated processing that produce legal or similarly significant effects.

Campaign information may be used to organise enquiries, measure campaign performance or identify the services that may be relevant to a prospective client.

14. Third party websites

Amenities communications may contain links to LinkedIn, social media platforms or other websites.

These services operate under their own privacy policies. Amenities is not responsible for the privacy practices or content of websites operated by third parties.

15. Changes to this Privacy Policy

Amenities may update this Privacy Policy when its services, processing activities or legal obligations change.

The latest version will be published on the Amenities website together with its effective date.
